# Podseeker Database

> Podseeker Database helps PR professionals find relevant podcasts, pitch clients, and manage replies and follow-ups in one shared workspace.

Podseeker Database is the self-serve application for PR freelancers, podcast bookers, in-house communications teams, and agencies. It combines podcast research, contact information, client context, personalized pitching, campaign scheduling, and conversation tracking.

## Core Workflow

Podseeker is flexible rather than a mandatory linear funnel. Most teams begin with Search and then use the parts of the workflow they need.

1. Search for podcasts by topic, title, person, audience, reach, recency, guest fit, location, and contact availability.
2. Open podcast profiles to review recent topics, estimated audience, hosts, contacts, booking information, and team activity.
3. Pitch a strong opportunity directly, save targets to a media list, or export podcast records for another workflow.
4. Create a client profile when client-fit scoring, recommendations, or personalized pitch drafting is useful.
5. Turn a media list into a campaign when several podcasts should be reviewed, scheduled, and managed together.
6. Send through Gmail or Outlook and manage replies, follow-ups, and outcomes in Podseeker.

## Search and Podcast Research

Database users can:

- Search the full podcast database without a search quota.
- Browse 200+ outreach topics designed around how PR teams find guest opportunities.
- Filter for active shows, guest format, available contacts, audience characteristics, reach, recency, location, and other qualification signals.
- Review recent episodes and topics to understand what a host currently covers.
- See estimated listeners, ratings, social reach, episode history, and other available audience information.
- Find similar podcasts from a podcast profile.
- Review host and producer contact information when available.
- Request additional contact enrichment for selected podcasts.
- Add shared notes and see prior team activity to reduce duplicate research and double-pitching.

Audience figures are estimates intended for comparison and qualification, not audited download counts.

## Media Lists and Exports

A media list is an optional working set of podcasts. Teams use lists to compare targets, organize research, collaborate, export records, or prepare a campaign.

Media lists can be:

- Created from Search or podcast profiles.
- Shared across an organization.
- Reviewed with podcast count, creator, campaign, and activity context.
- Duplicated into an independent new list.
- Archived and restored without removing the underlying podcasts.
- Exported to CSV on an eligible paid plan.
- Turned into a campaign for one client.

CSV allowances count podcast records exported, not the number of files downloaded. CSV export is disabled during the Database trial to prevent abuse. A trialing customer can start the subscription immediately from Billing to enable the included export allowance.

## Client Profiles and Fit

A client represents the guest, expert, executive, or spokesperson being pitched. A client profile provides context about the person's expertise, proof, speaking topics, audience, and interview angles.

Client context powers:

- Client Fit assessments on podcast opportunities.
- Client-matched podcast recommendations.
- Personalized pitch drafting.
- Campaign organization and reporting.

Creating a client is not required to research the database, build lists, or export records. It becomes useful when the team is ready to qualify opportunities for a specific person or begin pitching.

## Recommendations

Recommendations are an additional source of client-matched opportunities. Podseeker uses each client's profile to surface high-fit shows that may not have appeared in the team's own searches.

Podseeker generates the first 10 recommendations when a client is created, providing a practical sample of the complete workflow. From there, users can request sets of up to 25 new matches, review the complete recommendation history, mark a podcast as not a fit and restore it later, save matches to a list, or create a fresh campaign from recommendations that have not already been pitched for that client.

Recommendations complement Search; they are not required to use the Database product. A requested set may contain fewer than 25 podcasts when there are not enough new matches that clear the high-fit threshold.

Grow includes 200 Recommendations per billing period, shared across the organization. The first 10 and later requested sets use the same allowance. In the August 27, 2026 mature-pitch cohort, pitches to recommended podcasts booked at 6.1% (16 of 263), compared with 3.3% (165 of 5,012) overall. Pitches with an 85%+ Client Fit score booked at 6.2% (55 of 894). These are observed associations, not guaranteed outcomes. ## Individual Pitches

For one clear opportunity, a user can begin a pitch directly from a podcast profile without first creating a media list or campaign.

Podseeker can help the user:

- Select or create the client being represented.
- Draft a personalized pitch using the podcast and client context.
- Review Client Fit and Pitch Score before sending.
- Edit the recipient, subject, and message.
- Save a draft, send immediately, or schedule the initial email.
- Schedule follow-ups that stop when a legitimate reply is detected.
- Continue the email conversation and record the final outcome.

Messages are sent from the user's connected Gmail or Outlook account. Replies remain in the user's mailbox and are synchronized into the Podseeker conversation workspace.

## Campaigns

A campaign coordinates outreach for one client across one media list. It is useful when a team wants to review multiple recipients and drafts, choose a sending schedule, and manage the resulting conversations together.

A campaign contains:

- One client and one source media list.
- Reusable pitch and follow-up templates.
- Personalized drafts for individual podcasts.
- Mailbox and sending-window settings.
- Scheduled, paused, sent, skipped, and completed work.
- Replies, follow-ups, statuses, and booking outcomes.

Campaigns are designed as contained outreach workspaces. The original media list remains available for research and organization.

## Pitches, Replies, and Follow-ups

Each initial email sent to a new podcast counts once toward the monthly pitch allowance. Follow-ups, scheduled follow-ups, and replies in the same conversation are unlimited and do not count as new pitches.

When an address bounces, a generic inbox refers the sender to a better contact, or another recipient is more appropriate, the user can choose **Try a different email**. Podseeker copies the subject and draft into a new current conversation, requires the user to select and review the new recipient, cancels pending sends and follow-ups from the conversation being left, and keeps earlier messages in a collapsed history. A previous conversation can be made current again. Trying another recipient stays within the same pitch and does not count as a second pitch; a bounced initial email does not count toward the allowance.

The pitch workspace helps teams:

- Review drafts and scheduled sends.
- See sent messages and incoming replies.
- Schedule or send follow-ups.
- Pause, snooze, archive, or update a conversation.
- Track booked, declined, skipped, disconnected, and other outcomes.
- Avoid contacting the same podcast twice without context.

## Team Collaboration

Database organizations share research and outreach context. Depending on the plan and permissions, teammates can work with shared media lists, clients, campaigns, podcast notes, pitch history, and connected mailboxes.

The Account area includes organization details, members, mailboxes, notifications, usage, billing, and the optional PR Directory profile.

An organization may subscribe to Database, API, or both. Database quotas and API credits are billed and measured separately.
