Inbox and follow-ups

Handle replies, follow-ups, recipient changes, and booking outcomes.

Use Inbox for work across campaigns

The campaign workspace is best for one client's outreach. The pitch Inbox brings conversations from all campaigns together so you can handle the next action without opening every campaign.

Views and filters

All Replies Scheduled Paused Disconnected Sent Drafts Skipped Issues Booked Declined

Use these filters to isolate a work queue: replies that need a response, drafts awaiting review, scheduled messages, disconnected mailboxes, or issues that require correction. Snoozed and Archived keep non-current work out of the active Inbox.

Open a pitch to see the full conversation

Pitch FitWhy the client's expertise appears relevant to this podcast.
Pitch StatusThe current state and the date of the latest meaningful change.
Email ConversationsInitial email, replies, manually sent messages, and follow-ups in the thread.
Next actionReply, follow up, preview and send, resolve an issue, or record an outcome.

Change the time of a scheduled follow-up

  1. 1. Open the pitch. From the campaign workspace or pitch Inbox, click the podcast whose follow-up you want to change.
  2. 2. Find Follow-up Emails. Expand the scheduled follow-up to see its message and actions.
  3. 3. Click Edit Follow-up. Choose a new send date and time. You can also update the follow-up message.
  4. 4. Save your changes. Podseeker will use the new time shown in your local timezone.

Edit Follow-up is available while the follow-up is still scheduled. Once sending has started, the follow-up can no longer be edited.

Try a different email when the conversation cannot continue

Use Try a different email when the first address bounces, a generic inbox refers you to the person who handles guests, or you decide another recipient is more appropriate. It keeps the outreach for this client and podcast together while letting you focus on one active conversation at a time.

  1. 1. Open the pitch and click Try a different email. Confirm that you want to start a new email conversation.
  2. 2. Review the new draft. Podseeker copies the previous subject and message, returns the pitch to Drafted, and asks you to choose a new recipient before sending.
  3. 3. Continue from the new conversation. The new conversation becomes current, so its messages and status drive the pitch workspace.
  4. 4. Refer back when needed. Earlier recipients and messages remain collapsed under Previous email conversations. Choose Make current if you need to return to one of them.

Scheduled messages are protected

Starting or restoring a conversation cancels scheduled initial emails and follow-ups for the conversation you are leaving. Review the current conversation before scheduling anything again.

Retries do not use another pitch

Trying another recipient stays within the same pitch and does not count as a second pitch. A bounced initial email also does not count toward the pitch allowance.

A late reply to a previous conversation is still saved for reference, but it does not replace the current conversation automatically.

Follow-up rules

  • Stay in the existing conversation. Follow up from the pitch so the message remains in the same thread.
  • Check the thread first. A reply or a manually sent email may change the appropriate next step.
  • Legitimate replies stop automation. Remaining scheduled follow-ups are cancelled when Podseeker detects a real response.
  • Record outcomes. Mark booked or declined conversations so the team can separate results from open work.

Your mailbox remains authoritative

Podseeker mirrors outreach activity to organize the workflow. When something looks incomplete, compare the conversation with Gmail or Outlook and check the mailbox connection before sending again.
