Connect a work Outlook or Microsoft 365 account

When you click Link Outlook account, Microsoft asks which account to use. If you have more than one Microsoft account (for example a personal Outlook.com, Hotmail, or AOL account and a work address), pick the address you pitch from. If it isn't listed, choose Use another account and sign in with your work email.

1. The wrong email connected? Remove it in Account → Mailboxes, then click Link Outlook account again from a private or incognito browser window, so no other Microsoft account is signed in, and sign in with your work email.
2. Sent to another sign-in page? Some companies sign in to Microsoft 365 through their email host (for example GoDaddy) or their own login page. Use your work email password there.
3. “Need admin approval”? Your organization lets only approved apps connect to work mailboxes. Podseeker shows an approval link under Connection help on the Mailboxes page. Send it to whoever manages your company's Microsoft 365 (your IT admin, or the GoDaddy account owner); they sign in and click Accept once, and everyone at your company can connect. Then connect again.

Choose the sender when you schedule

Pitch templates control the writing; they do not choose the sending address. Create the campaign drafts first, open the campaign workspace, and then select the mailbox when scheduling. If only one mailbox is connected, Podseeker selects it automatically.

What the connection enables

• Send from your own address rather than a Podseeker-controlled sender.
• Keep replies in the original thread when sending and following up through Podseeker.
• Synchronize sent and received messages so pitch status and next actions reflect the conversation.
• Stop scheduled follow-ups after replies when a legitimate response is detected, and keep that conversation out of later bulk follow-ups.

Add your email signature

Each mailbox can add a signature, images included, below every pitch, follow-up, and reply sent from it. Teammates each set up their own. Open Account → Mailboxes and click Manage in the mailbox's Signature section.

• Import from Gmail. In Gmail, open Settings → General → Signature and choose your signature under “For new emails use” (Gmail only shares the default). Then click Import from Gmail. Changed it in Gmail later? Click Import again from Gmail.
• Or write your own, for any mailbox, including Outlook. Click Write your own (or Edit to change a saved signature): format text, add links, and add a logo or photo (PNG, JPG, or GIF, up to 2 MB) in small, medium, large, or original size. Already have a signature as HTML, for example from a signature generator? Paste it in the HTML tab.
• Remove typed sign-offs from your templates (your name and email at the end) so they don't appear twice. Review & Send shows the signature under the pitch before you send.

If a mailbox disconnects

1. 1. Open Account → Mailboxes. Confirm which sender shows a disconnected or attention state.
2. 2. Reconnect with the same provider account. Approve the requested access and return to Podseeker.
3. 3. Review affected scheduled pitches. Confirm that the mailbox and future send times are still correct.
4. 4. Avoid sending a duplicate manually. Check the provider's Sent folder and the pitch thread first.
